Office Receptionist

Duties and Responsibilities:

  • Receive incoming calls and respond to all in a courteous and professional manner
  • Route incoming calls to staff and affiliates appropriately
  • Work with a sales script
  • Manage difficult customers and escalated calls as required
  • Respond politely to customer complaints to ensure customer satisfaction
  • Participate in calling activities and exercises between Sign of the Times and its partner agencies
  • Retrieve general mailbox, voicemail messages and forward to appropriate affiliates and staff, as per schedule
  • Ensure that phones are logged "on and off" according to the assigned schedule
  • Maintain all Practice Firm contact information and ensure lists are updated with new information as provided
  • Respond to general inquiries from other Practice Firms
  • Greet all customers and visitors who request information and direct them to the appropriate staff person
  • Perform data entry tasks as requested
  • Record the minutes at bi-weekly affiliate/team meetings
  • Stamp and receive all Practice Firm catalogues and flyers

Skill Requirements:

  • High School diploma or equivalent
  • Ability to multi-task with good attention to detail
  • Strong oral and written English
  • Ability to communicate effectively
  • Self-starter with initiative to work with minimal supervision
  • Moderate computer knowledge, Microsoft Word, email and Internet
  • Professional telephone manner
